A drawing with a clear revision can be more useful than a lengthy verbal description. Identify the item covered and which information is current.
Make revision and units visible
Provide drawing number, revision, measurement units and item name together. If an older drawing accompanies a new request, explain the changes separately.
Define the limits of an alternative enquiry
When requesting alternatives, distinguish flexible and mandatory requirements. Similar part codes or appearance alone do not establish technical equivalence.
Link the document to the right item
For multiple items, label the relationship of each document. Descriptions, quantities and document references should align within the same list.
A short enquiry checklist

- Mandatory technical requirements
This guide supports technical communication. It is not site-specific selection, inspection or approval for use; follow relevant manufacturer instructions and competent assessment.
